Reports to: Manager- Budget and Finance
Job Purpose:
Under the supervision of the Manager- Budget and Finance and being a team member of Finance, maintains the office accounting in accordance with Helen Keller Intl financial control policies and procedures. The primary responsible of the position is to support USAID Integrated Nutrition finance team in smooth operations of financial management which includes day to day operation and all kinds of financial work in the office.
Major Duties & Responsibilities
- Verify vouchers/invoices submitted to USAID Integrated Nutrition for payments, obtain the approvals as appropriately and process the vouchers via NetSuite for payments.
- Support payment process of USAID Integrated Nutrition activities and its documentation.
- Prepare fund transfer of PO’s, PNGO’s, Consortium Partners, vendors, staffs, and others through Straight to Bank (S2B).
- Update and enter the vendor profile in S2B system, prepare transfer, making batch and send all the signed/authorized payment to bank via S2B.
- Check all payments in S2B system for fund transfer or returned from bank and inform to finance team accordingly.
- After completion of payment, maintain filing for all financial vouchers including accounts payable, receivables, and consultants’ payments.
- Check an E-Statement of SCB of USAID Integrated Nutrition accounts and prepare monthly Bank Reconciliation Statements.
- Support in VAT refund process, tracking and reconciliation of VAT refunded invoices including VAT for partner organizations.
- Support on timely deposit and verification of e-TDS.
- Support to Finance team for execution of effective and efficient day to day financial management of the Project including preparing and processing to the monthly cash requirement to be provided to Helen Keller Intl canter finance on time.
- Collect Monthly Finance Reports & finance related documents from USAID Integrated Nutrition field offices and ensure its documentation.
- Coordinate with staffs to ensure advances (travel and program) are cleared/settled within stipulated/allowable timeline and expenditure documents are supported adequately and comply.
- Assist in monitoring province/district approved budget vs expenditures and other financial reports. And support, follow up and implementation of audit recommendations.
- Ensure compliance of local law, donor requirements, organizational policies and procedures and maintain internal control systems.
- Any other task assigned by the supervisor as per requirement.
- Bachelor’s degree in finance/management with 2 years' experience or +12 with 4 years’ experience
- Good knowledge in financial management and internal control system.
- Experience in handling online accounting system.
- Experience in VAT refund process and good knowledge in applicable Tax laws.
- Ability to work well with others and to develop and maintain positive working relationships.
- Good computer skills (specially in Microsoft Word, Excel and Power point)
- Competent in Nepali and English typing.
- Excellent interpersonal and facilitation skills
- Willing to travel remote areas as and when required.
- Experience on USAID Compliance, rules, and regulations
